Information

We are looking forward to working with you and your LAP teams for the 2022 Conference, July 18-22 at the Gideon Putnam Hotel, Saratoga Springs, New York.

In addition to the 7 returning locals, we welcome eight new LAP teams from: Cherry Valley Springfield Central School Teachers Association, East Syracuse Minoa Teaching Assistant Association, Faculty Association of Suffolk Community College, Fredonia Teachers Association, Hempstead Classroom Teachers Association, Ithaca Teachers Association, Newark Valley United Teachers and Teachers Association of Cheektowaga-Sloan.

Please read the following information carefully:

Arrival Times and Registration

All Locals will arrive on Sunday, July 17; breakfast will be available starting at 7:00 am on Monday, July 18. The program will begin promptly at 8:15 am on July 18.

Conference Registration

Each team member must register using the link in your email. Registration must be received by May 9, 2022. Additional conference details will be emailed as necessary.

Conference Costs/Accommodations/Transportation

NYSUT will fully fund your local’s participation at the LAP Conference, including double room accommodations, meals and round-trip driving costs. Toll expenses will be reimbursed only with valid receipts.

Single rooms are available at a $107 per night charge to the individual, payable directly to the Gideon Putnam when you check in. We strongly urge local team members to share rooms. This allows all members of the LAP community to be in residence at The Gideon Putnam and not housed off premises.

Hotel accommodations will be reserved for you in your name. Please do not attempt to change your room assignment. Check-in at the Gideon Putnam is any time after 4:00 p.m. If your room is not ready when you arrive, the bell staff will temporarily check your baggage until your room is ready for occupancy. If you have any questions please see NYSUT staff at registration for assistance.

You are responsible for any personal hotel charges, which must be paid for upon check-out.

Mileage will be reimbursed at 58.5 cents per mile per NYSUT’s travel policy. We strongly encourage carpooling where possible as it is most cost efficient means of transportation. To encourage carpooling, in addition to the 58.5 cents per mile rate, NYSUT will provide $35 to any driver traveling beyond a 75-mile radius of Albany (150 miles round trip) who uses his/her personal car to carpool with other attendees. In order to receive the $35 payment, the driver must list the names of all passengers on the expense voucher.

Special Events 

Monday – All LAP Locals will attend a welcome dinner on the Gideon Putnam grounds.
Tuesday– Dinner on your own, see below for further details.
Wednesday – BBQ with the NYSUT Officers.
Thursday – Lake George Dinner Boat Cruise

Tuesday Dinner  - Dinner on Tuesday is on your own. NYSUT will reimburse each participant up to $50 for each night’s dinner. On Tuesday, teams are encouraged to include their LRS in their dinner plans. The LRSs will handle arrangements/reservations for their LAP team on Wednesday. Since this is at the peak of the tourist season, advanced dinner reservations are strongly recommended, and carpooling is encouraged. Information on area restaurants can be found on the Saratoga Visitors Bureau website at www.discoversaratoga.org.

Dress - Casual attire is appropriate throughout the conference.

Equipment and Materials

Each team should bring a laptop that is able to use MS Office and connect to the internet. If you do not have one available, please contact Theresa Bernacki. The Gideon is equipped with high speed wireless internet access throughout the hotel.

Expenses

You will receive a NYSUT expense voucher in your conference materials for reimbursement of transportation and meal costs when traveling to and from the conference.

Fitness Center

The fitness center at the Gideon includes a full line of cardiovascular equipment including: two elliptical machines, two stationary bikes, two treadmills, free weights and a universal gym.

Gratuities

Gratuities for all meals at the Gideon are included in the NYSUT package price(s). Gratuities for housekeeping services are not included. Suggested minimum amount is $3.00 per day; add $1 for each additional person staying in the room, per day. This is a reimbursable expense.

No Importing

Please do not bring or buy alcohol off-premises and bring onto the hotel property.

Team Photos

Team photos will be taken on ______________ during team planning time. Teams are encouraged to wear the 2022 LAP shirt distributed at registration or their local colors for the photograph

Franklin Community Center Food Bank

For the past 12 years, the NYSUT LAP Teams have donated non-perishable food products to the Franklin Community Center’s food pantry. This organization serves many of the track’s backstretch workers and their families during Saratoga’s racing season as well as the invisible poor living in this wealthy community year round. We ask that each team bring items for donation. For ideas on food items, please read the brochure attached to this registration site.
