We are looking forward to working with you and your LAP teams for the 2023 Conference, July 17-21 at the Gideon Putnam Hotel, Saratoga Springs, New York.
In addition to the 12 returning locals, we welcome six new LAP teams from: Albany Public School Teachers Association, Amityville Teachers Association, Corning Teachers Association, Edgemont Teachers Association, RCG BOCES Special Support Services Federation and Solvay Teachers Association.
Please read the following information carefully:
Arrival Times
1st and 2nd Year Locals will arrive on Sunday, July 16; breakfast will be available starting at 7:00 am on Monday, July 17. The program for 1st and 2nd Year Locals will begin promptly at 8:30 am on July 17.
3rd Year Locals will arrive on Wednesday, July 19; lunch and display begins at 12:30 pm. The program for 3rd Year Locals will begin promptly at 2:00 pm on July 19.
Conference Registration
Each team member must register using this link. you will also receive the link in an email. Registration must be received by June 1, 2023. Additional conference details will be emailed as necessary.
Conference Costs/Accommodations/Transportation
NYSUT will fully fund your local’s participation at the LAP Conference, including double room accommodations, meals and round-trip driving costs. Toll expenses will be reimbursed only with valid receipts.
Single rooms are available at a $118 per night charge to the individual, payable directly to the Gideon Putnam when you check in. We strongly urge local team members to share rooms. This allows all members of the LAP community to be in residence at The Gideon Putnam and not housed off premises.
Hotel accommodations will be reserved for you in your name. Please do not attempt to change your room assignment. Check-in at the Gideon Putnam is any time after 4:00 p.m. If your room is not ready when you arrive, the bell staff will temporarily check your baggage until your room is ready for occupancy. You are responsible for any personal hotel charges, which must be paid for upon check-out.
Mileage will be reimbursed at 65.5 cents per mile per NYSUT’s travel policy. We strongly encourage carpooling where possible as it is most cost-efficient means of transportation. To encourage carpooling, in addition to the 65.5 cents per mile rate, NYSUT will provide $35 to any driver traveling beyond a 75-mile radius of Albany (150 miles round trip) who uses his/her personal car to carpool with other attendees. To receive the $35 payment, the driver must list the names of all passengers on the expense voucher.
Special Events ─ Casual dress is appropriate for all special events.
Monday – 1st and 2nd Year LAP Locals will attend a welcome dinner on the Gideon Putnam grounds.
Tuesday– Dinner on your own, see below for further details.
Wednesday – All Locals will attend a dinner on the Gideon Putnam grounds.
Thursday – All Locals will attend a dinner at the Saratoga Winery.
Tuesday Dinner - Dinner on Tuesday is on your own. NYSUT will reimburse each participant up to $50 for Tuesday night’s dinner. Since this is at the peak of the tourist season, advanced dinner reservations are strongly recommended, and carpooling is encouraged. Information on area restaurants can be found on the Saratoga Visitors Bureau website at www.discoversaratoga.org.
Dress - Casual attire is appropriate throughout the conference.
Equipment and Materials
Each team should bring a laptop that is able to use MS Office and can connect to the internet. If you do not have one available, please contact Theresa Bernacki. The Gideon is equipped with high-speed wireless internet access throughout the hotel.
Expenses
You will receive a NYSUT expense voucher in your conference materials for reimbursement of transportation and meal costs when traveling to and from the conference.
Fitness Center
The fitness center at the Gideon includes a full line of cardiovascular equipment including: two elliptical machines, two stationary bikes, two treadmills, free weights and a universal gym.
Gratuities
Gratuities for all meals at the Gideon are included in the NYSUT package price(s). Gratuities for housekeeping services are not included. Suggested minimum amount is $3.00 per day; add $1 for each additional person staying in the room, per day. This is a reimbursable expense.
Team Photos
Team photos will be taken during team planning time. We will let you know at when you arrive at the conference the date and time that your team is scheduled for a photo. Teams are encouraged to wear the 2023 LAP wearable distributed at registration or their local colors for the photograph.
Community Outreach
Again, this year we will ask our LAP Locals to participate in a community outreach effort. More details will be sent as they are available.
