Information

We are looking forward to working with you and your LAP teams for the 2025 Conference, July 21-25 at the Fort William Hotel and Conference Center, Lake George, New York.

In addition to the 11 returning locals, we welcome five new LAP teams from: BOCES Teachers Association of Westchester, Bellmore-Merrick United Secondary Teachers, Kenmore-Tonawanda School Employees Association, Wheatland Chili Federation of Teachers, and Tech Valley High School Association.

Please read the following information carefully:

Arrival Times

1st and 2nd Year Locals will arrive on Sunday, July 20. Breakfast will be available starting at 7:00 am on Monday, July 21. The program for 1st and 2nd Year Locals will begin promptly at 8:30 am on July 21 and end by noon on Friday, July 25.

3rd Year Locals will arrive on Monday, July 21. Lunch will be available starting at 12:30 pm and gallery walk prep will begin at 1:30 pm. The program for 3rd year locals will conclude by 10am on Thursday, July 24th.

Conference Registration

Each team member has received the link in an email. Registration must be received by May 23, 2025. Additional conference details will be emailed as necessary.

Conference Costs/Accommodations/Transportation

NYSUT will fully fund your local’s participation at the LAP Conference, including double room accommodations, meals, and round-trip driving costs. Toll expenses will be reimbursed only with valid receipts.

Single rooms are available at a $132 per night charge to the individual, payable directly to The Fort William Henry when you check in. We strongly urge local team members to share rooms. This allows all members of the LAP community to be in residence at The Fort William Henry and not housed off premises.

Hotel accommodations will be reserved for you in your name. Please do not attempt to change your room assignment. Check-in at The Fort William Henry is any time after 4:00 p.m. If your room is not ready when you arrive, the bell staff will temporarily check your baggage until your room is ready for occupancy. You are responsible for any personal hotel charges, which must be paid for upon check-out.

Mileage will be reimbursed at 70 cents per mile per NYSUT’s travel policy. We strongly encourage carpooling where possible as it is most cost-efficient means of transportation. To encourage carpooling, in addition to the 70 cents per mile rate, NYSUT will provide $35 to any driver traveling beyond a 75-mile radius of Albany (150 miles round trip) who uses his/her personal car to carpool with other attendees. To receive the $35 payment, the driver must list the names of all passengers on the expense voucher.

Expenses

You will receive a NYSUT expense voucher in your conference materials for reimbursement of transportation and meal costs when traveling to and from the conference. Receipts must accompany all expenses including tolls.

Dress

Casual attire is appropriate throughout the conference.

Equipment and Materials

Each team should bring a laptop that is able to use MS Office and can connect to the internet. If you do not have one available, please contact Shöna Nilsson. The Fort William Henry is equipped with high-speed wireless internet access throughout the hotel and conference center.

Team Photos

Team photos will be taken during team planning time. We will let you know when you arrive at the conference the date and time that your team is scheduled for a photo. Teams are encouraged to wear the 2025 LAP wearable distributed at registration or their local colors for the photograph.

Community Outreach

Again, this year we will ask our LAP Locals to participate in a community outreach effort. More details will be sent as they are available.

Evening Activities – Casual dress is appropriate for all special events.

Monday – All Locals will attend a welcome dinner at the Fort William Henry.

Wednesday – Dinner & Celebration of 3rd Years with NYSUT Officers followed by a Dueling Pianos show By Savage Pianos
Thursday – Dinner at the Fort William Henry followed by time on your own. See details below.

Tuesday Dinner on Your Own

Dinner on Tuesday is on your own. NYSUT will reimburse each participant up to $55 for Tuesday night’s dinner. Since this is at the peak of the tourist season, advanced dinner reservations are strongly recommended. Thursday Night After Dinner Activities on Your Own

Thursday evening after dinner you will have some time on your own. There are lots of weekly happenings at Lake George including a fireworks display and live music on Thursdays. Visit the link listed below to see the calendar of events at Lake George. https://www.lakegeorge.com/.

Gratuities

Gratuities for all meals at the Fort William Henry are included in the NYSUT package price(s). Gratuities for housekeeping services are not included. Suggested minimum amount is $3.00 per day; add $1 for each additional person staying in the room, per day. This is a reimbursable expense.
